Position : Chief of Staff

Salary Range : USD 1500 - 2000

Working Schedule : Monday to Friday 9am-5pm Pacific Time

ABOUT THE ROLE

As the Chief of Staff, you will play a pivotal role in supporting the strategic management and operational oversight across a diverse portfolio of businesses, including a Boutique Consulting firm, Project/Construction Management Services firm, a Fiber Install Construction firm, a Digital Marketing agency, and Real Estate ventures. The ideal candidate will be a strategic thinker with a robust background in project management, excellent communication skills, and the ability to navigate complex business environments. This role will contribute to the smooth operation of multiple companies by efficiently managing tasks, streamlining processes, and utilizing the latest tech/tools.

Key Responsibilities:

Firstly, train the CEO the best systems and processes to get the most out of the relationship. This candidate must be HIGHLY organized.
Serve as a strategic advisor and confidante to the CEO, assisting in decision-making processes across all business units.
Manage the CEO's calendar, prioritize tasks, and ensure deadlines are met using tools like Google Calendar, clickup, notion, and motion, and slack.
The CEO spends a lot of time ideating business ideas and investment opportunities. Conduct thorough research to support the CEO's new business concepts and present findings clearly and concisely.
Develop and implement KPIs, SOPs, and OKRs to align the EA's work with the CEO's strategic objectives and drive business growth
Liason with staff and support the CEO in the various companies that the CEO owns and manages.
Leverage modern AI tools like Claude and ChatGPT to automate tasks, generate insights, and enhance productivity
Has some experience with no-code automation tools like make.com or zapier. Automations and efficiency will be key to funnel tasks and mini-projects towards the CEO for efficiency.
Create and maintain a well-structured, easily searchable knowledge base using tools like Evernote, Notion, or Roam Research
Source, vet, and hire freelancers and remote workers using platforms like Upwork, Fiverr for one off / short term projects/tasks.
Manage the CEO's email inbox, prioritize messages, and draft responses on their behalf. Also manage scheduling and logistics for the CEO, including preparing materials for meetings and presentations.
Anticipate potential challenges and proactively develop solutions to keep operations running smoothly.
Analyze data and generate reports to support decision-making and provide the CEO with data-driven insights and recommendations
Act as a trusted advisor and confidant to the CEO, providing support and guidance as needed

Requirements:

Proven track record of successfully supporting high-level executives in a virtual setting
Creative thinking and ability to think outside the box. Excellent problem-solving skills and the ability to perform well in a fast-paced, dynamic environment.
Expertise in developing and implementing KPIs, SOPs, and OKRs
Advanced knowledge of AI assistants like Claude, ChatGPT, and other relevant AI tools
Mastery of note-taking and knowledge management tools such as Obsidian, Notion, or Roam Research
Experience in sourcing, vetting, and hiring freelancers and remote workers using platforms like Upwork, Fiverr
Exceptional written and verbal communication skills, with the ability to adapt to the CEO's communication style
Strong problem-solving skills and the ability to anticipate potential challenges and develop proactive solutions
High level of emotional intelligence and the ability to build strong professional relationships
Familiarity with the CEO's industry and the ability to stay informed about relevant trends, competitors, and opportunities
Bachelor's degree or equivalent experience in business administration, management, or a related field
