ICAP Executive Search & Selection, on behalf of its client, a leading Shipping company, is looking for a driven and skilled professional for the position of Executive Assistant to the Managing Director.

Executive Assistant to the Managing Director (5794/EAMD/ESS/GR)

Responsibilities:

Extensive diary management, including scheduling business appointments, arranging commitments, and updating the diary accordingly.
Arrange and coordinate external and internal meetings, ensuring timely follow-ups to confirm all scheduled meetings occur as planned.
Manage and handle random and ad-hoc administrative requests.
Provide comprehensive secretarial support, including filing, retaining documents, handling correspondence, and drafting replies.
Collate and organize documents required for meetings, ensuring they are ready in a timely manner.
Liaise with staff and key stakeholders from across the business as needed.
Develop and maintain strong relationships with key contacts on behalf of the MD.
Respond to and follow up on inquiries via post, telephone, and email related to the MD’s business.
Act as the first point of contact for all calls to the MD, prioritizing them based on importance and relevance.
Oversee event management tasks, ensuring all arrangements align with budgets and expectations.

Requirements:

Proven experience in an Executive Assistant or similar role, preferably in the shipping or related industry.
Fluency in English language, with strong written and verbal communication skills
A proactive and adaptable mindset, with the ability to anticipate the MD's needs.
Exceptional organizational and multitasking skills with attention to detail.
Proficiency with Microsoft Office applications Word, Excel, PowerPoint and Outlook.
