As we are expanding, we are looking for a highly organized and detail-oriented Administration Assistant with German language proficiency to support our accounting, project management, and administration teams, particularly in quality control and timesheet/project control tasks.

Key Responsibilities

General Administration: Perform day-to-day office tasks, including document management, correspondence handling, and record-keeping.
Quality Control & Project Support: Assist in monitoring project execution, verifying timesheets, and ensuring accurate project tracking.
Accounting & Finance Support: Collaborate with the accounting team to assist with invoicing, expense tracking, and financial reporting.
Communication & Coordination: Act as a liaison between different departments and external stakeholders, ensuring clear and professional communication in German and English.
Scheduling & Calendar Management: Organize appointments, meetings, and travel arrangements.
Data Entry & Reporting: Maintain accurate records, update databases, and generate reports for project and financial analysis.
Office & HR Support: Assist with administrative tasks related to employee records, procurement, and document compliance.
Compliance & Confidentiality: Ensure all administrative tasks comply with company policies and maintain confidentiality of sensitive information.

Qualifications & Skills

Language Skills: Fluent in German (C1 or above) and English (B2 or above).
Education: Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
Experience: Minimum 1–3 years of experience in administration, office management, accounting support, or a similar role.
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with ERP or project management systems is a plus.
Strong Organizational Skills: Ability to multitask, prioritize, and manage deadlines effectively.
Attention to Detail: Accuracy and efficiency in handling administrative, financial, and project control tasks.
Problem-Solving Mindset: Proactive, reliable, and able to work independently.
Professionalism & Confidentiality: High level of integrity when handling sensitive data.
