Responsibilities

Executive & Administrative Support

Manage executive and team calendars across time zones, ensuring seamless scheduling.
Triage leadership inboxes, draft responses, and track follow-ups.
Coordinate travel logistics including flights, accommodations, and itineraries.
Support recruiting efforts through candidate sourcing, interview scheduling, and onboarding logistics.
Prepare invoices, customer quotes, and assist with document organization.

Operations & Office Management

Oversee virtual office operations including inventory tracking and vendor coordination.
Manage incoming communications, including emails, phone calls, and mail.
Maintain internal systems, including file organization and office supply procurement.
Organize company events and support internal coordination across functions.

Financial Operations

Process payroll, contractor payments, commissions, and vendor invoices.
Track and reconcile expenses using tools such as Gusto, Brex, or QuickBooks.
Prepare financial reports, including monthly and quarterly budget summaries.
Manage AR/AP workflows and respond to finance-related inquiries.

Requirements

2+ years of experience in operations, executive assistance, or finance administration.
Strong command of task and calendar management tools (e.g., Asana, Google Calendar, Trello).
Financial literacy and comfort with spreadsheets and tools like Stripe, Gusto, or QuickBooks.
Highly organized with exceptional time management and multitasking skills.
Excellent written and verbal communication skills (C1 English or higher).
Calm and composed under pressure, with a proactive and solution-oriented mindset.
Ability to manage multiple stakeholders and maintain a high standard of professionalism.
Comfortable working independently in a remote environment.
