Overview

We’re seeking a full-time Executive/Virtual Assistant to support a fast-paced real estate business. This role is perfect for someone who is highly organized, proactive, and eager to take ownership of administrative tasks so the business owner can stay focused on clients and growth.

The assistant will play a key role in managing email and calendar, handling client communication via CRM, and ensuring that follow-ups and action items don’t fall through the cracks. The role also requires strong written English skills to communicate with leads and clients in a professional, polished way.

Responsibilities

Manage and organize inbox and calendar; send reminders and daily briefings to ensure a smooth start to each day.
Handle CRM updates, client follow-ups, and inbound inquiries to move leads from first contact to scheduled calls.
Draft and send professional email responses in English, ensuring timely and accurate communication.
Set up property searches and manage post-call action items based on instructions and recorded training videos.
Support with various administrative tasks such as scheduling, document preparation, and project coordination.
Proactively identify opportunities to take work off the executive’s plate, anticipating needs without waiting for instructions.
Occasionally assist with one-off business-related tasks for other team members as needed.

Requirements

2+ years of experience as an Executive Assistant, Virtual Assistant, or similar administrative role.
Strong written and verbal English (client-facing over email/CRM; no phone calls required).
Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
High level of proactivity, initiative, and problem-solving — someone who anticipates needs rather than waiting for direction.
Experience using CRMs, email management, and productivity tools (Google Workspace, project/task management platforms).
Previous experience supporting busy professionals or entrepreneurs; real estate industry background is a plus but not required.

Competitive compensation: $1,000–$1,500 USD/month (up to $2,000 for highly experienced candidates).
Full-time remote role (40 hours/week), aligned with US business hours (8–5 or 9–5).
