Job Overview

We are seeking a highly organized, detail-oriented legal professional with a strong background in personal injury law (auto accidents and physical injury cases). Thriving in a process-driven environment, your primary focus in this role will be owning the medical records procurement process and maintaining flawless data integrity within our case management system. You will play a crucial role in driving the case lifecycle forward, ensuring our legal team has the accurate data and documentation they need from initial intake to final settlement.

Key Responsibilities

Records Procurement & Data Management (Core Focus)

Spearhead Records Acquisition: Systematically request, track, and secure medical records, billing statements, police reports, and insurance documents.
Provider Follow-Up: Relentlessly follow up with hospitals, clinics, and medical records departments to resolve bottlenecks and prevent delays in case progression.
High-Volume Data Entry: Meticulously enter, update, and audit case data, medical expenses, and client information within the legal case management software to ensure absolute accuracy.
Document Organization: Digitally process, label, and file incoming records, ensuring all information is current, easily searchable, and tied to the correct medical providers and dates of service.

Legal & Administrative Support

Draft a variety of legal documents based on the data collected, including demand letters, pleadings, motions, and discovery requests.
Conduct legal and factual research to support attorneys in case preparation.
Assist with trial preparation, including organizing exhibits and witness lists based on the compiled medical and police records.

Client & Third-Party Communication

Serve as a primary point of contact for clients, providing timely updates on the status of their records and addressing their questions.
Communicate proactively with insurance companies, medical providers, and opposing counsel to gather vital information and support settlement negotiations.
Assist with lien resolution and settlement disbursement, ensuring all financial data entry aligns with relevant legal standards and firm policies.

Qualifications

PI Experience: At least 1 full year of Personal Injury (PI) experience working as a legal assistant, paralegal, case manager, or in an adjacent legal support role.
Technical Proficiency: Basic proficiency in Microsoft Outlook, Word, and Excel, as well as hands-on experience using case management software.
Records Expertise: Proven track record of navigating hospital and medical provider systems to obtain health and billing records efficiently.
Data Accuracy: Exceptional data entry skills with a focus on speed, meticulous attention to detail, and a zero-error mentality.
Case Knowledge: Experience handling auto insurance and physical injury cases is required.
Communication: Strong written and verbal communication skills in English.
Work Environment: Ability to work independently, manage a high-volume caseload, and prioritize administrative tasks in a fast-paced remote environment.
