Executive Assistant & Project Coordinator (Founder's Office)

About the Role

We are seeking an experienced and highly organized professional to serve as the Executive Assistant and Project Coordinator to our founder. This is a high ask EA role, built for someone who is hungry to grow and become the founder's shadow—the person they can lean on to ensure the business runs smoothly.

This role is a unique mix between an Executive Assistant and a Project Manager, requiring exceptional organizational rigor and the capacity to grow into a strategic partner. You'll be instrumental in supporting the founder and ensuring business operations run smoothly and efficiently.

This is an excellent opportunity for an EA from a startup background, as you will be expected to wear many hats and handle a variety of ad hoc tasks. The work isn't always glamorous—sometimes it’s organizing files—and the next day it's focused on project management and growth into the whole business. The ultimate goal is for you to learn to understand the business over time and grow into a more strategic role, potentially managing client expectations, revisions, and ensuring team accountability.

Key Responsibilities

Organization and Administrative Oversight

Number One Expectation: SUPER SUPER ORGANIZED. This is critical to the business running smoothly.
Digital Asset Management: Take ownership of organizing and maintaining the founder's files, emails, and other digital assets. This includes helping to clean up the CEO's desktop, making subfiles, and backing up everything.
General Administration: Providing core administrative support (calendar management, travel booking, expense reporting, etc.).

Project Coordination & Client Communication (Front-of-House)

Client Communication & Scheduling: Serve as the primary point of contact for client communications, scheduling, and overall project coordination. You must be highly organized to manage client communication effectively.
Proactive Client Management: Over time (ideally within 6 months), you will be expected to understand client needs, ask for revisions, deliver on what the client needs, and make sure the team is held accountable for deadlines.
Executive Support: Be open to talking on the phone with the C-suite manager and doing work while the founder directs things (acting as the founder's shadow).

Marketing & Operational Support (Medial Tasks)

Social Media Support: Assisting with basic marketing/social media tasks, including responding to clients and reviews, and handling posting/scheduling.
Ad Hoc Support: Assisting with basic operational tasks and project management duties as needed.

Requirements

Experience: 5–7 years of experience as an Executive Assistant, preferably in a startup or small business environment due to the need to handle ad hoc tasks.
Organization: Exceptional organizational and time management abilities are mandatory.
Communication: Excellent written and verbal communication skills.
Mindset: Self-starter with the ability to multitask and prioritize in a fast-paced environment.
Technical: Proficiency with standard office software (Google Suite, Slack, Trello, etc.).
Growth: Interest in learning about and growing into project management and business oversight principles.
