Position Overview:
The Rehab Intake Coordinator serves as the first point of contact for individuals seeking admission to the rehabilitation program. This role involves handling intake calls, assessing client needs, completing pre-admission screenings, verifying insurance or payment options, coordinating with clinical and administrative teams, and ensuring a smooth transition into the treatment process. The ideal candidate is empathetic, organized, and able to manage sensitive information with professionalism and confidentiality.

Key Responsibilities:

Serve as the initial point of contact for potential clients, families, and referring professionals.
Conduct intake assessments to determine eligibility and appropriateness for treatment.
Gather and review all required admission documentation, including medical records, referral forms, and consent documents.
Coordinate and schedule admissions with clients, clinicians, and support staff.
Verify insurance benefits or payment details and communicate financial responsibilities clearly.
Maintain accurate and confidential client records in accordance with HIPAA and organizational policies.
Communicate effectively with clinical, medical, and administrative teams to ensure seamless client onboarding.
Provide compassionate guidance to clients and families during the admission process, offering information about treatment options, program expectations, and facility policies.
Track referral sources and maintain follow-up with potential clients who have not yet enrolled.
Support data entry, reporting, and administrative tasks as needed.

Requirements:

Must be able to work Nightshift (6pm – 12am EST)

Experience:

Minimum of 2 years’ experience in admissions, intake coordination, case management, or customer service within a healthcare, behavioral health, or rehabilitation setting.

Skills & Competencies:

Strong interpersonal and communication skills (verbal and written).
Exceptional organizational and time-management abilities.
Empathetic and professional demeanor when dealing with clients in crisis.
Familiarity with addiction treatment terminology, processes, and confidentiality standards.
Proficiency with electronic health records (EHR) systems and Microsoft Office Suite.
Ability to multitask in a fast-paced, emotionally sensitive environment.

Preferred Qualifications:

Experience working in a drug and alcohol rehabilitation or mental health facility.
Knowledge of insurance verification and authorization processes.
