About the Role

We are a small, creative video production company looking for a highly organized Production Admin Assistant. Your work will handle the essential administrative details that keep our projects moving smoothly, allowing our Producer to stay focused on the creative work.

This is a great role for someone who loves structure, enjoys follow-up and coordination, and takes pride in keeping things organized and accurate.

What You’ll Do Each Week

1. Chase Paperwork

Email crew, vendors, and talent to collect W9s, invoices, and release forms
Ensure documents are signed, submitted, and filed correctly
Follow up consistently until every item is complete

2. Track Receipts & Budgets

Collect receipts from the team after shoots and meetings
Clearly label files and maintain organized folders
Log amounts into our budget spreadsheet with accuracy

3. Keep Files Organized

Maintain Google Drive folders
Ensure each project has properly named documents in the correct place
Keep everything clean, consistent, and easy to find

4. Manage Scheduling

Coordinate meeting and shoot times with the team
Send timely calendar invites
Help keep the Producer’s schedule running smoothly
