About the Role:

We are seeking a proactive, detail-oriented Billing / Finance Associate to support our media finance operations. This role focuses on vendor billing, invoice management, budget tracking, and financial coordination across multiple client accounts.

The ideal candidate is highly organized, reliable with deadlines, and comfortable owning recurring finance workflows independently in a remote environment.

Role Responsibilities:

Vendor & Invoice management

Manage end-to-end vendor setup, ensuring all required documentation is collected and recorded accurately
Collect, review, reconcile, and track vendor invoices on a recurring weekly and monthly cadence
Act as the primary point of contact for vendors regarding invoice status, discrepancies, and payment questions
Ensure invoices, MPAs, and billing documentation include correct client and project identifiers

Billing & Payment coordination

Prepare invoices for internal submission and payment processing in line with monthly close timelines
Track invoice receipt and submission status, flagging missing or late documentation proactively
Support maintenance of cash flow documentation, including pre-bill values and monthly spend tracking

Budget control & Reporting

Maintain and update budget control reports across multiple client accounts
Track spend against approved budgets and identify variances or inconsistencies
Provide regular finance updates to internal stakeholders to support planning and client delivery
Conduct routine checks for missing invoices, proof of performance, or payments

Systems & process hygiene

Maintain accurate vendor and billing records across finance and project management systems
Complete timesheets and finance-related admin accurately and on time
Follow documented SOPs and contribute to improving repeatable finance workflows over time

Requirements:

Has at least 3 years of competitive experience performing tasks in billing, finance administration, bookkeeping, or accounts support
Strong attention to detail and comfort working with financial documentation
Proven ability to manage recurring deadlines independently
Clear, professional written and verbal English communication
Experience working remotely or with distributed teams

Nice to have:

Experience in an agency, media, or professional services environment
Familiarity with budget control reports or media billing workflows
Experience with tools like Asana, Scoro, QuickBooks, or similar systems
Prior work supporting multiple clients or cost centers simultaneously
