As our loan volume grows, we are looking for a highly organized Virtual Assistant to support the operational side of the business by ensuring payments are tracked, documentation is processed correctly, and borrowers move smoothly through administrative workflows.

The Role

The Virtual Assistant (VA) will support loan servicing and operational workflows by managing payment tracking, coordinating documentation, and handling administrative tasks that keep the lending operation running smoothly.

This is a process-focused role, not a strategy role. The ideal candidate is someone who enjoys following structured systems, executing tasks accurately, and maintaining organized records.

Success in this role means ensuring borrowers complete payment setup quickly, payments are tracked correctly, and operational tasks are executed without errors or delays.

Key Responsibilities

Loan Payment Tracking

Track borrower payment schedules across active loans
Monitor upcoming and overdue payments
Maintain accurate internal records of borrower payment activity
Escalate payment issues or delays to leadership when necessary

ACH Payment Setup (Primary Operational Task)

Guide borrowers through the DocuSign ACH authorization process
Send payment authorization documents
Ensure borrowers complete ACH setup before payment deadlines
Follow up with borrowers who have not completed required documentation

Administrative Loan Support

Maintain organized loan records and documentation
Update internal systems with borrower and payment information
Ensure all borrower documentation is properly stored and accessible

Vendor Coordination

Order appraisals, inspections, and third-party reports
Communicate with vendors to confirm timelines and deliverables
Track completion of required reports for active loans

General Administrative Support

Assist with backend operational tasks as needed
Follow documented SOPs to complete routine workflows
Maintain clear communication with internal stakeholders regarding task status

Required Qualifications

45+ WPM typing speed with 95% accuracy
Strong written English communication skills
High attention to detail and accuracy in data entry
Experience following structured workflows and SOPs
Strong organizational and task management skills
Ability to work independently with minimal supervision
Comfortable communicating with U.S.-based clients via email
