About the Role

We are seeking a highly organized and detail-oriented Construction Drawing Processing Assistant to support our pre-construction and operations workflows.

This role is critical in ensuring construction drawings, project documentation, invoices, and operational data are accurately processed, tracked, and maintained. You will work closely with project managers and internal teams to keep projects moving forward without delays caused by administrative gaps or data inconsistencies.

This position is ideal for someone who thrives in structured, process-driven environments, is highly proficient in administrative operations, and has strong experience working with spreadsheets, documentation, and invoicing systems.

What You’ll Do

Construction Drawings & Documentation

Review, organize, and process construction drawings and related documents
Ensure all plans are properly labeled, stored, and version-controlled
Track revisions and maintain up-to-date records across projects
Coordinate with internal teams to ensure documentation accuracy and completeness

Administrative & Operational Support

Provide day-to-day administrative support to project and operations teams
Maintain organized digital filing systems for all project-related materials
Assist in creating and improving operational workflows and documentation processes
Support project tracking and status updates across multiple jobs

Invoice & Billing Coordination

Review, process, and track invoices related to construction projects
Ensure accuracy of billing data and alignment with project scope
Coordinate with internal teams to resolve discrepancies or missing information
Maintain clear records for financial tracking and reporting

Data Management & Excel Reporting

Build, maintain, and update Excel spreadsheets for project tracking and reporting
Track key project metrics, timelines, and financial data
Ensure data accuracy and consistency across systems
Generate reports to support decision-making and operational visibility

Cross-Functional Coordination

Communicate effectively with project managers, vendors, and internal stakeholders
Follow up on missing documentation, approvals, or required inputs
Help ensure projects stay on schedule by removing administrative bottlenecks

What You Bring

Required Experience

5–9 years of experience in administrative, operations, or project support roles
Experience working with construction, architecture, or engineering documentation (preferred)
Strong experience managing invoices, billing processes, or financial tracking
Advanced proficiency in Microsoft Excel (data tracking, formulas, organization)
Proven ability to manage multiple tasks and deadlines simultaneously
Strong attention to detail and accuracy in all work
Excellent written and verbal English communication skills

Technical Skills

Advanced Microsoft Excel (required)
Google Workspace (Docs, Sheets, Drive)
Experience with project management or construction software (a plus)
Comfortable working across multiple systems and tools simultaneously

Nice to Have

Experience in residential construction or custom home building
Familiarity with construction drawings, blueprints, or plan sets
Experience with accounting or invoicing platforms (QuickBooks or similar)
Background working with U.S.-based companies or clients
Process improvement or operations optimization experience

Technical Requirements

Must be based in South Africa
Reliable high-speed internet connection
Backup power solution (highly preferred)
Modern computer capable of handling multiple applications simultaneously
