Medical Administrative Assistant & Receptionist (Remote)

About the Role

We are seeking a highly professional and empathetic Medical Administrative Assistant to serve as the primary point of contact for our brick-and-mortar functional medicine practice.

This is a critical front-of-house role, responsible for managing the full patient journey—from initial inquiry through scheduling and follow-up care. You will play a key role in ensuring a seamless, high-touch patient experience.

The ideal candidate combines exceptional communication skills with the ability to handle sensitive medical inquiries with both clinical accuracy and a warm, supportive demeanor.

Key Responsibilities

Patient Engagement

Serve as the first point of contact for patients
Manage high-volume inbound calls and inquiries
Provide detailed information about functional medicine services

Complex Scheduling

Own and manage the practice calendar
Schedule new patient consultations and follow-up appointments with precision

Administrative Support

Provide dedicated support to the clinical team
Manage patient records, intake forms, and general office coordination

Service Advocacy

Educate patients on treatment philosophies and service offerings
Ensure patients feel informed, supported, and confident in their care

Process Management

Maintain smooth daily operations
Proactively resolve scheduling conflicts and administrative bottlenecks

Requirements

Native-Level English Proficiency

Exceptional verbal and written communication skills
Ability to communicate clearly with a US-based patient population

Medical Experience (Preferred)

Prior experience in a medical or clinical setting
Familiarity with medical terminology and patient confidentiality standards (HIPAA-level)

Service-Oriented Mindset

Operational Reliability

Ability to work consistent PST hours (8:00 AM – 5:00 PM)
Reliable high-speed internet and a quiet, professional workspace
