Key Responsibilities

1. Strategic Operations & Executive Governance

Calendar & Inbox Architecture: Take full ownership of executive schedules and communication channels; triaging emails, prioritizing critical tasks, and aggressively protecting leadership’s time allocation.
The "Solution Gatekeeper": Operate with extreme autonomy, auditing internal inefficiencies, resolving administrative bottlenecks, and presenting fully realized solutions to leadership rather than unmanaged issues.
Daily Briefings: Prepare comprehensive daily operational briefings detailing high-priority deadlines, meeting context, and pending cross-functional follow-ups.

2. Sales Ecosystem & Growth Support

Sales Pipeline Coordination: Provide tactical support to the sales process, ensuring lead data flows seamlessly through our CRM, tracking client follow-up sequences, and maintaining pipeline data hygiene.
Network Expansion: Research, source, and book high-value corporate networking events, conferences, and executive dinners aligned with our commercial growth strategy.
Digital Engagement: Manage professional social media presence (primarily LinkedIn)—handling basic outbound profile engagement, tracking inbound messages, and organizing networking opportunities.

3. Systems & AI Infrastructure Management

Workflow Automation: Continuously audit and improve our digital SOPs, building systems that allow the business to scale predictably.
AI Tool Integration: Actively leverage and experiment with modern generative AI tools and workflows to accelerate document handling, communication loops, and research tasks—keeping the executive desk running at a modern, highly competitive velocity in 2026.

Required Skills & Qualifications

Experience: 4+ years of experience as an Executive Assistant, Operations Coordinator, or Project Manager supporting fast-paced founders, entrepreneurs, or executives.
The "Career Admin" Mindset: Explicitly committed to an administrative or operational career path. This role is built for future operational leaders, not candidates looking for a stepping stone into accounting, marketing, or general sales.
Advanced Tech & AI Literacy: Exceptional, hands-on fluency with modern cloud software, project management tools (e.g., ClickUp, Notion, Asana), CRMs, and generative AI interfaces. You must naturally use technology to work faster and smarter.
Systematic Thinking: A natural knack for organizing chaos into repeatable, documented processes.
Communication Mastery: Superb written and verbal English communication skills with the executive presence required to interact confidently with external clients and partners.
