Fund Operations & Client Support Associate

Role summary Provide day-to-day operational and client support across fund, investor, bank, broker, custodian and regulatory matters. Coordinate onboarding, transaction processing, reporting, compliance/AML/KYC and service‑provider interactions to ensure efficient fund operations and excellent client service.
Key responsibilities

Fund & Client Support

Act as primary operational support to the RM on client, fund, bank, broker, custodian and admin matters.
Coordinate with clients, fund administrators, custodians, banks, brokers, auditors, corporate secretaries, tax agents and other service providers.
Support client and investor onboarding: collect, review and submit KYC/documents and supporting information.
Assist clients with payment instructions (prepare details, check completeness, follow up with banks/custodians/administrators).
Support investor subscription, redemption, transfer, distribution, cash proceeds and contract‑note follow‑up.
Handle client queries on distributions, redemption proceeds, cash movements, payment status and documentation.
Prepare and coordinate monthly investor updates (performance tables/charts, manager commentary, fund data, risk warnings) and distribute to investors/counterparties.
Maintain and update performance spreadsheets and market comparison charts; coordinate monthly fund commentary, performance attribution and manager updates with the RM.
Review and follow up on fund administrator deliverables (NAV packs, investor registers, fund reports).
Prepare and coordinate board resolutions, written resolutions, meeting minutes and related documentation.
Prepare and follow up on invoices for management fees, service providers, administration, audit, corporate secretarial and other fund/company expenses; manage approval and payment follow‑up and record keeping.
Follow up on audit matters, financial statements, filings and administrator queries.
Maintain records of key fund matters, investor communications, operational instructions and outstanding actions.
Place trade instructions with banks/brokers/custodians per RM/investment manager instructions and monitor execution, settlement and confirmations.

Compliance / AML / KYC / Regulatory Support

Assist with onboarding reviews: KYC documentation, accredited investor checks, source of wealth/funds reviews and screening follow‑up.
Coordinate with external compliance consultants and fund administrators on AML/KYC matters.
Maintain compliance registers/trackers (onboarding logs, outsourcing registers, periodic review trackers).
Support preparation/follow‑up for compliance meetings, reports, internal reviews and audit/regulatory requests.
Assist with MAS surveys and other regulatory/reporting matters (information gathering, drafting responses, follow‑up).
Coordinate updates to policies, procedures, compliance manuals and internal control documents.
Support periodic due diligence and service‑provider reviews.

Reporting / Operations / Administration

Support onboarding of banks, brokers, custodians, RMs and external counterparties (account opening, maintenance, signatory updates, trading authority, LPOA).
Coordinate SFTP/data‑feed access and reporting access arrangements with vendors and counterparties.
Act as liaison between fund administrators and investors for subscriptions into sub‑funds; coordinate subscription documents, KYC and follow‑up queries.
Coordinate with internal and external stakeholders to ensure timely completion of subscription/onboarding matters.
Serve as central coordination point across management, clients, administrators, banks, brokers, custodians, auditors and compliance advisers.

Qualifications & experience

Bachelor’s degree in Finance, Business, Accounting, Law or related discipline.
5+ years’ experience in fund operations, private funds, wealth management operations, custody or related middle/back‑office roles. Experience with fund administrators and custodians preferred.
Practical knowledge of KYC/AML processes and regulatory obligations (e.g., MAS / relevant jurisdictional rules).
Familiarity with NAV packs, subscriptions/redemptions, investor registers, trade settlement and corporate secretarial documentation.

Skills & competencies

Strong operational and client service orientation; attention to detail and rigor in documentation.
Solid organisational and time‑management skills; ability to handle multiple tasks and follow up effectively.
Good written and verbal communication; able to prepare investor updates, meeting minutes and correspondence.
Proficiency in Excel (performance spreadsheets, reporting), MS Office and willingness to work with reporting/SFTP tools.
Team player, proactive, reliable, and able to escalate issues appropriately.
High integrity and good judgment with confidential information.

Desirable

Certifications such as ACAMS, CISI, CFA (candidate) or similar.
Experience with specific fund admin platforms or custody/trading platforms.
Prior exposure to audit and fund accounting.
