Office Admin – Customer Support & Scheduling Specialist

Location: Remote (South Africa or the Philippines)
Schedule: Full-Time | US EST/CST Business Hours + Rotating On-Call Coverage

About the Role

Our client is a well-established senior home care agency dedicated to providing compassionate, high-quality care to older adults. They are looking for an organized and customer-focused Office Admin – Customer Support & Scheduling Specialist to coordinate caregiver schedules, support clients and families, and assist with day-to-day administrative operations.

Key Responsibilities

Manage daily client and caregiver schedules using ClearCare (WellSky) or similar software.
Match caregivers with clients based on care needs, availability, and preferences.
Resolve scheduling conflicts and caregiver call-outs to ensure uninterrupted care.
Participate in a rotating on-call schedule for urgent evening and weekend coverage.
Answer inbound calls and provide professional, compassionate support to clients and families.
Follow up with clients to ensure satisfaction and document all interactions in the CRM.
Coordinate client consultations and caregiver introductions.
Support general administrative tasks, including document management and reporting.
Assist with recruitment administration, onboarding paperwork, and reference checks.
Maintain accurate client and employee records.

Requirements

2+ years of experience in scheduling, customer support, office administration, or healthcare coordination.
Experience in home care, healthcare, or senior services is highly preferred.
Experience using ClearCare (WellSky) or similar scheduling software.
Strong Microsoft Office skills, particularly Word, Excel, and Outlook.
Excellent written and spoken English.
Strong organizational skills with the ability to manage multiple priorities.
Calm and professional under pressure, especially when handling last-minute schedule changes.
Reliable internet connection, computer, and dedicated home office setup.
