Client Operations Manager

Target Locations: South Africa or Eastern Europe, but flexible for right candidate
Work Hours: US Time Zone Alignment (Eastern / Central preferred)

What You Will Do

Obsess over Clients & Their Retention: While our CEO will lead client relationships, you will play a critical role in capturing all content, owning follow ups, and using that to inform next steps. Catch the missing comments and context that no one else did and make sure that the client is at the forefront of our approach.
Define the Project Roadmap & Deliverables: Once client direction is set, break down the project into a clear roadmap. Populate all client facing materials with transparent timelines, goals, and deliverables.
Manage Program Delivery: Track delivery end-to-end by coordinating with the engineering and client teams, and holding all internal parties accountable. Always stay two steps ahead by spotting delays and blockers early and having an action plan to address.
Manage Internal Tools: Maintain the client facing dashboard so it's always accurate, giving the client a clear snapshot of where the project stands. Similarly, update internal tools so that asynchronous teams remain informed and coordinated.
Own Asynch Client Communication: Draft meeting summary emails, clearly communicate next steps, and check-in / follow up as needed to track down necessary information.
Partner with Engineering: Work with Engineering and our CEO to ensure that the technical solution meets the client’s needs. Keep engineering on track and advocate for the client on scope and timing.
Support with Solutioning: While our CEO & delivery team will lead solutioning and strategy, you will contribute by ensuring we are asking the right questions and documenting critical client data, e.g., workflows. This is a stretch area you can grow into more over time.

Who We Are Looking For

Background in a high-pressure environment: management consulting, banking, or a chief of staff / executive-support role at a fast-moving company (startup or otherwise). Backgrounds with heavy diligence requirements (compliance, reconciliation, back-office finance) are also a fit if paired with strong communication.
Roughly 3-5 years of experience at the analyst/associate level
Detail oriented. A structured thinker with airtight follow-through; nothing falls through the cracks.
Strong, clear written English is essential. Writing should be clear and well structured in all formats (email, project write ups, summaries).
Problem Solver. Someone who is comfortable with ambiguity and brings options, not problems.
Interest in AI and technology. You don’t need to be an expert but should be comfortable with modern AI tools and conversing with engineers on technical scope.
Available on US business hours, overlapping with Eastern or Central time.
