The role works closely with company leadership and the sales, purchasing, and operations teams to ensure customers receive responsive service, orders progress smoothly, and active sales opportunities receive consistent follow-up.

About the Role:

We are seeking a Customer Service & Sales Support Specialist to provide a combination of customer-facing service, sales coordination, order management, and administrative support. This individual will serve as an important point of contact for customers, responding to inquiries by phone and email, providing order and account information, monitoring active orders, following up on quotes and leads, and helping resolve customer or service-related issues.

The ideal candidate is highly organized, professional, and proactive with follow-up. They should be equally comfortable delivering excellent customer service and supporting active sales opportunities to ensure prospective and existing customers receive timely attention.

Role Responsibilities:

Customer Service
- Respond promptly and professionally to customer inquiries by phone and email.
- Serve as a reliable point of contact for customer questions, service needs, and account-related matters.
- Provide accurate information regarding products, services, orders, and customer accounts.
- Assist with resolving order, service, and account issues.
- Investigate customer concerns and coordinate internally to determine appropriate resolutions.
- Follow up when issues require additional research or input from other departments.
- Maintain a professional, helpful, and customer-focused approach across all interactions.

Sales Support & Follow-Up
- Follow up consistently on quotes, leads, and active sales opportunities.
- Maintain communication with prospective and existing customers to keep opportunities moving.
- Help prevent qualified opportunities from becoming inactive due to missed or inconsistent follow-up.
- Gather customer and opportunity information and coordinate appropriate next steps.
- Support company leadership and sales team members with customer-related activities.
- Maintain accurate notes regarding customer conversations, follow-ups, and sales activity.
- Identify opportunities requiring additional attention from the appropriate sales team member.

Order Management
- Enter customer orders accurately into the appropriate systems.
- Monitor active orders and track progress through the required stages.
- Verify customer and order information for accuracy and completeness.
- Communicate relevant order updates to customers.
- Identify potential order issues and coordinate with internal teams to resolve them.
- Follow orders through completion to help ensure customer expectations are met.
- Maintain organized records of order activity, outstanding items, and required follow-ups.

Cross-Functional Coordination
- Coordinate with sales, purchasing, and operations teams regarding customer, order, and service needs.
- Communicate customer requests and unresolved issues to the appropriate internal stakeholders.
- Follow up internally on outstanding questions and action items.
- Ensure information moves efficiently between customers and internal departments.
- Maintain visibility into unresolved customer and order-related matters.
- Support clear and consistent communication across departments.

Administrative Support
- Provide general administrative assistance to company leadership as needed.
- Maintain accurate customer information, account records, notes, and documentation.
- Update CRM, order-entry, ERP, and other internal systems consistently.
- Organize customer, sales, and order-related information for easy reference.
- Assist with recurring follow-ups, documentation, and administrative tasks.
- Help maintain accurate, complete, and organized internal records.

Requirements:

2–5 years of experience in customer service, sales support, account management, order management, administrative support, or a related role.
Excellent written and verbal English communication skills.
Professional and confident phone and email communication.
Strong customer service and problem-solving abilities.
Proven ability to follow up consistently with customers and support active sales opportunities.
Strong organizational skills and attention to detail.
Ability to accurately manage customer information, account records, and notes.
Comfortable coordinating with multiple internal departments.
Ability to manage multiple customer requests, orders, and follow-ups simultaneously.
Self-motivated, dependable, and capable of working independently.
Reliable internet connection and a professional remote workspace.

Preferred Qualifications:

Experience using CRM platforms.
Experience with order-entry or order-management systems.
Familiarity with ERP systems.
Previous account management or sales coordination experience.
Experience supporting both customer service and sales functions.
Experience coordinating with purchasing, fulfillment, or operations teams.
Previous experience providing administrative support to company leadership or senior executives.
