Sales Operations & Pipeline Manager

Employment Type: Full-time, Independent Contractor

Work Model: Remote

Work Hours: US Business Hours alignment

Role Overview

We are seeking a high-agency, tech-savvy Sales Operations & Pipeline Manager to own top-of-funnel operations, lead follow-up, and pipeline hygiene for a fast-growing legal talent and attorney placement platform.

This is not a traditional outbound SDR ticket-calling role. Sitting at the intersection of sales operations, marketing automation, pipeline management, and client onboarding, you will serve as the engine powering our Account Executive (AE). You will own multi-channel lead flows across GoHighLevel (GHL), Instantly, Clay, n8n, and AI automation tools—managing automated sequences, conducting targeted cold calling (1–2 hours daily), chasing warm prospects, diagnosing conversion leaks, and managing the post-sale attorney vetting and onboarding process.

Key Responsibilities

1. Top-of-Funnel Sourcing & Pipeline Management

Multi-Channel Lead Ownership: Oversee lead capture and engagement across all inbound and outbound channels, including Indeed, PosseList, LinkedIn, cold email, referral networks, and historical lead databases.
GoHighLevel (GHL) CRM Hygiene: Maintain immaculate CRM data, track pipeline progression, enforce stage updates, and ensure zero qualified prospects drop through the cracks.
AE Calendar Optimization: Keep the Account Executive’s schedule filled with qualified meetings, handling all meeting reschedules, no-show recoveries, and pre-call qualification briefings.

2. Direct Lead Qualification & Cold Calling

Targeted Outbound Outreach: Execute 1–2 hours of focused daily cold calling to high-intent attorney prospects and institutional clients to accelerate meeting velocity.
Persistent Follow-Up: Execute persistent multi-touch follow-up cadences via phone, SMS, email, and LinkedIn to convert pending inquiries into booked discovery calls.

3. Sales Automation & Technical Infrastructure

Workflow Automation Building: Design, deploy, and maintain lightweight automations across GoHighLevel, Instantly, Clay, n8n, and AI tools to streamline follow-ups, enrich lead data, and reduce manual tasks.
Funnel Leak Diagnosis: Analyze conversion metrics across the funnel—identifying drop-offs in response rates, booking friction, and show-up rates, deploying targeted campaign adjustments to fix bottlenecks.

4. Post-Sale Attorney Screening & Onboarding (Approx. 20%)

Vetting & Screening Coordination: Manage the administrative screening, background verification, and vetting workflows for attorneys joining the network.
Account Onboarding & Support: Guide newly onboarded legal talent through initial account setup, orientation, and periodic account health check-ins to ensure long-term retention.

Required Skills & Qualifications

Startup Grit & Ownership: High-energy, startup-ready operator with a track record of taking full ownership of sales pipelines and solving problems autonomously.
Sales Ops & Tech Stack Literacy: Hands-on experience building and managing workflows inside GoHighLevel (GHL) alongside cold email engines (Instantly) and data enrichment tools (Clay).
Outbound Grit & Phone Presence: Proven comfort conducting targeted cold calls (1–2 hours daily) and managing persistent phone/email follow-up sequences.
Automation & AI Aptitude: Familiarity leveraging automation platforms (n8n, Zapier) and AI productivity tools to optimize B2B outreach efficiency.
Communication & Stakeholder Management: Exceptional written and spoken English skills with the professional polish required to communicate with legal professionals and corporate clients.

Preferred Qualifications

Prior experience in legaltech, attorney recruiting, staffing, professional services, or B2B SaaS marketplaces.
Broad familiarity with legal terminology, attorney screening standards, or legal industry hiring models.

Success Metrics (KPIs)

AE Meeting Volume & Show Rate: Consistently booking qualified meetings for the Account Executive and maintaining high show-up rates.
Funnel Conversion Velocity: Improving response-to-booked-call conversion rates across cold email and inbound lead channels.
CRM Data Accuracy: Flawless pipeline tracking and pipeline hygiene inside GoHighLevel.
Attorney Onboarding Speed: Seamless, error-free onboarding and vetting cycles for newly converted attorneys.
