Role Overview

We are seeking an articulate, high-urgency Lead Intake & Patient Care Sales Specialist to serve as the primary first point of contact for the practice. In this role, you will manage rapid inbound lead response across digital channels, engage prospects via social media messaging, and execute structured phone intake calls. The primary objective is to convert prospective patients into paid initial evaluations while effectively pre-framing the value of high-ticket, cash-based plans of care ($2,000 to $15,000+).

Key Responsibilities

Rapid Speed-to-Lead Response: Contact new inbound leads, form inquiries, and digital ad submissions via phone, SMS and email within 5 minutes of opt-in during business hours.
Multi-Channel Setter Workflows: Monitor social media inboxes (Instagram/Facebook), engage active inquiries using structured direct-messaging frameworks, and transition messaging threads into scheduled phone discovery calls.
Consultative Intake & Emotional Discovery: Conduct deep-discovery phone conversations to uncover a prospect's core health motivations, address financial or insurance objections, and articulate the distinct value of one-on-one cash-based physical therapy.
Pre-Framing Care Packages: Educate prospective patients on the clinic's comprehensive treatment model, setting clear expectations for customized, full plans of care ranging from $2,000 to $15,000+ prior to their initial clinical evaluation.
Pipeline & Schedule Optimization: Execute targeted outbound follow-ups to warm lead pipelines, re-engage past inquiries, and manage appointment scheduling to maximize clinical provider capacity.
Billing & Administrative Ownership: Collect evaluation deposits, process payments at time of service, assist with patient payment plan records, and maintain pristine lead status tracking inside the practice CRM (GoHighLevel/PTEverywhere).

Key Performance Objectives (KPIs)

Evaluation Bookings & Conversion: Achieve a 30%+ overall conversion rate across inbound marketing channels, securing 10 to 15+ paid initial evaluations weekly.
Clinic Schedule Efficiency: Maintain >85% schedule capacity across provider calendars through active follow-up and schedule management.
Outreach Execution: Maintain strict 5 minute response windows on fresh lead opt-ins during business hours.

Qualifications and Requirements

Relevant Experience: 2 to 4+ years of proven B2C sales, intake, or appointment-setting experience handling high-ticket cash services ($2,000 to $10,000+) in industries like boutique elective medicine, medspas, cash physical therapy, or premium wellness.
English Proficiency: native verbal English skills with an articulate, polished, and persuasive phone presence.
High Emotional Intelligence (EQ): Exceptional active listening and consultative rapport-building skills to navigate patient frustration, uncover underlying motivators, and overcome price objections with poise.
Self-Direction & Accountability: High operational discipline with a proven ability to manage daily outreach activity, CRM task lists, and appointment calendars independently.
Technical Setup & Alignment: Dedicated, quiet work environment, high-speed internet, and full availability during US Central Standard Time (CST) business hours, with willingness for brief weekend inbound lead monitoring.
