Accounts Payable & Reconciliations Specialist

Role Overview

We are seeking a detail-oriented, tactical Accounts Payable & Reconciliations Specialist to own core vendor invoice processing, credit card reconciliations, and monthly AP ledger management using NetSuite.

As our operational footprint expands across multi-site locations and active construction developments, our financial volume has scaled rapidly. In this seat, you will manage high-volume invoice processing, perform 3-way matching across purchase orders and receivers, reconcile multi-account credit card batches, analyze aged AP reports, and maintain pristine ledger hygiene. Reporting to accounting leadership, this position offers room to expand into higher-level general ledger tasks, journal entries, and account reconciliations based on your technical accounting depth.

Key Responsibilities

1. Core Accounts Payable & Vendor Management

High-Volume NetSuite Entry: Process incoming vendor invoices, bills, and purchase orders accurately inside NetSuite.
3-Way Matching: Perform 3-way matching across purchase orders, receiving reports, and vendor bills for multi-site operations and active construction projects.
Aged AP Analysis: Audit aged AP reports regularly, monitor vendor payment terms, resolve statement discrepancies, and address vendor payment inquiries promptly.

2. Credit Card, Bank & AP Reconciliations

Credit Card Batch Reconciliations: Reconcile credit card payment batches, matching individual card transactions back to sub-ledger payments and expense categories.
Multi-Account Reconciliations: Perform routine bank reconciliations and monthly AP ledger reconciliations across 40–50 active operational accounts to ensure balance sheet accuracy.
Month-End Sub-Ledger Cleardown: Reconcile monthly AP sub-ledgers to the general ledger, identifying and clearing unapplied payments, open credits, or coding errors prior to monthly close.

3. General Ledger & Expanded Accounting Support

General Ledger Assistance: Prepare routine month-end journal entries and balance sheet account reconciliations to support accounting leadership.
Construction & Site Audit Support: Assist with internal financial audits, construction vendor compliance tracking, and account setups as new operational locations launch.

Required Skills & Qualifications

NetSuite Expertise: Direct hands-on experience entering bills, running reconciliations, and processing payments inside NetSuite.
Accounts Payable Track Record: 3+ years of dedicated Accounts Payable experience handling high-volume invoice processing, vendor management, and credit card reconciliations.
Reconciliation Mastery: Deep understanding of double-entry accounting, bank/credit card reconciliations, aged AP reporting, and sub-ledger balance checks.
Communication & Location: Fluent written and spoken English with daily availability to work full US business hours from a Latin America (LATAM) location.
Technical Workspace: Secure home office setup with high-speed internet and high precision managing spreadsheet data.

Preferred Qualifications

Prior experience supporting multi-unit operations, real estate, physical inventory, or construction project accounting.
Advanced Microsoft Excel skills (VLOOKUPs, xLOOKUPs, Pivot Tables) and exposure to general ledger journal entries.

Success Metrics (KPIs)

Processing Accuracy & Speed: Timely, error-free 3-way matching and invoice entry inside NetSuite.
Reconciliation Cadence: Completing routine bank, credit card, and AP sub-ledger reconciliations across all accounts within monthly close deadlines.
Vendor & Aging Hygiene: Keeping aged AP balances current and resolving vendor statement discrepancies proactively.
