Portfolio Operations Coordinator
(Real Estate Asset Management)

Location / Employment Details

Location: Fully remote
Schedule: Full-time, U.S. Eastern Time business hours
Reports to: The Founder & CEO and the Head of Operations
Start: As soon as possible; the company closes on several new communities in December
Commitment: Long-term, single full-time role (no concurrent clients or side roles)

About the Company

We are a rapidly growing, family-owned U.S. real estate company that buys and operates manufactured housing communities across the Midwest. Our residents own their homes and rent the lot they sit on, which makes this one of the most stable and affordable forms of housing in the country.

We buy to hold for the long term, not to flip. Our model is simple: acquire well-located communities that have never been fully optimized, then improve them through better operations, fair rents, accurate utility billing, and real investment in the property. Every community has its own on-site manager and maintenance team, backed by a small, hands-on leadership group.

Our leadership has acquired and operated dozens of communities over their careers, and we are closing on several more communities in December. We also run our own home sales program, helping buyers finance and move into homes inside our communities.

About the Role

Our portfolio is about to grow quickly, and the leadership team needs a dependable right hand who keeps the business organized as it scales. This is not an analyst seat and not a sales seat. It is the person who makes sure the numbers are current, the past-due list is worked, every home sale keeps moving, and no open item with a manager, vendor, or lender gets dropped.

You will work side by side with our Founder & CEO and our Head of Operations. You will own the weekly operating picture of every community, run resident collections by phone and text, and track each home from order to sale. As we add communities, you become the person who knows where everything stands.

We hire for work ethic, communication, and attitude, not years of industry experience. If you are organized, sharp in Excel, comfortable on the phone with U.S. residents and vendors, and want to grow with one company for years, this role is built for you.

Key Responsibilities

Portfolio Reporting

Build and send the weekly report on occupancy, collections, and home sales for each community, using AppFolio and Excel
Keep rent rolls accurate and reconciled so leadership is always working from current numbers
Flag trends early: rising delinquency, vacant lots, stalled sales, or a community falling behind plan

Resident Collections

Make reminder calls and send texts to past-due residents with a firm, respectful tone
Maintain an up-to-date past-due list and log every contact and payment commitment
Escalate accounts that need on-site manager or leadership follow-up

Home Sales Coordination

Track every home from order through delivery, setup, and sale
Keep buyer financing applications moving with chattel lenders and manufacturers, chasing missing documents until files are complete
Keep a clear pipeline view of where each home and each buyer stands

Vendors, Bills, and Property Support

Request and compare vendor quotes, schedule work, and confirm completion with on-site managers
Send approved bills to accounting with complete backup
Track utility billing and recurring service contracts across communities

Follow-Through and Records

Own the open-items list across managers, vendors, and lenders, and chase each item until it is closed
Keep licenses, permits, renewals, insurance, and community files current and organized
Help onboard newly acquired communities: set up records, rent rolls, and reporting as each deal closes

Required Qualifications

1 to 3 years in an operations, administrative, accounts receivable, property management, or back-office support role for a U.S. company
Excellent written and spoken English, and confident on the phone with U.S. residents, vendors, and lenders
Strong Excel skills: clean tracking sheets, filters, lookups, and basic formulas without hand-holding
Proven ability to learn new software quickly (we run on AppFolio)
Highly organized and detail-oriented, with a track record of owning follow-ups to completion
Able to work U.S. Eastern Time business hours, full-time, as your only role
Passes our typing and skills assessments (minimum 40 WPM at 95% accuracy)

Preferred Qualifications

Experience in U.S. property management, multifamily, or residential real estate operations
Hands-on use of AppFolio, Yardi, Buildium, or a similar property management platform
Experience with collections, resident or tenant communication, or accounts receivable follow-up
Exposure to loan or financing paperwork (mortgage processing, lending support, or similar)
Bachelor's degree in business, accounting, finance, or a related field

No manufactured housing experience is needed. We will teach you the business.

Ideal Candidate Profile

You are:

Hungry and coachable. You want to learn a business from the inside and grow with it, not collect a title.
Relentlessly organized. You keep a running list, close the loop, and nothing sits unanswered on your desk.
Calm and clear on the phone. You can remind a resident about a late payment kindly and firmly, then call a lender to chase a missing document.
Comfortable in the numbers. You like a clean spreadsheet and you notice when something does not add up.
Steady, not restless. You are looking for one long-term home, and you are happy owning the operating details rather than chasing the next role.
Proactive with leadership. You bring problems early, with a suggested next step, and you do not wait to be asked twice.

Why Join Us

Direct line to leadership. You work every day with the Founder & CEO and the Head of Operations, not through layers of management.
Real growth. The portfolio is expanding, with more communities closing in December and more in the pipeline. Your role grows as the company grows.
Hands-on training. We will teach you the manufactured housing business, our systems, and how we run every community.
Meaningful work. We provide affordable housing and take pride in being good stewards of every community we own.
Stability. A long-term, full-time role with a family-owned company that buys to hold for the long run.
